We are a Social Enterprise, which means we care deeply about our staff and those whose lives we touch when we work together to create positive social change. We are searching for a Project Administrator who can support a multitude of such projects; managing their operation, assisting in the collection and entering of participant data and maintaining database systems in the process.

System Administration & Main Duties:

  • Maintain administration systems to ensure filing and storage of data is handled in a timely and accessible fashion, appropriate to contract requirements and Data Protection policy
  • Maintain data information requirements by combining data from multiple systems
  • Work with Project Lead/Contract Managers in providing data for evaluation and data reports for a variety of needs
  • Provide timely and clear communication about any issues arising
  • Focus on supporting the Front Line Team with the collection of eligible participant paperwork, enabling them to become more effective and efficient
  • Work with staff to gather relevant data to help with monitoring contract performance
  • Attend funders’ administrator meetings and recommend any changes to admin processes
  • Support front line delivery meetings administratively
  • Provide ongoing support to the team to make effective use of our client management information system Lamplight
  • Provide administrative support to Project teams including room and travel bookings, access to resources etc
  • Assist the Front Line Team in the ongoing quality assurance and improvement of our contract/grant delivery and management
  • Work proactively to ensure that administrative barriers to young people’s participation are removed
  • To help implement, maintain, improve and regularly update CRM system for use by all areas of the business so that it is effective, efficient, and leads to identified opportunities, intelligence and coordinated action across the whole organisation

Experience/Qualifications Required:

  • Level 2 in Maths/English
  • Proficient in the use of IT, including web based applications, CRMs/databases, Microsoft Word  and Excel (advanced level)
  • Paying close attention to detail and prioritisation skills
  • Working knowledge of European Funding or willingness to learn about the subject
  • Understanding of Data Protection and GDPR or willingness to learn about the subject
  • Providing administrative support within a project or finance setting
  • Maintaining electronic and paper filing systems
  • Handling confidential/sensitive data preferred
  • Checking documents for errors
  • Providing excellent customer service to internal and external clients

The role will be chiefly based in Plymouth, with roughly one day a week (on average) spent at Liskeard for internal team meetings, or potentially at meetings further West in Cornwall with our project partners. Some weeks might be completely Plymouth-based, whereas others might involve off-site meetings across two or three days, so a good degree of flexibility in regard to travel is expected, we do however try to lift share to these meetings wherever possible.
